About this policy

I’m Sarah Whitworth, a humanist wedding celebrant based in West Sussex. I take your privacy seriously and want you to feel confident about how I look after any information you share with me.

This Privacy Policy explains how I collect, use and protect your personal information when you contact me, sign up to my newsletter, enquire about my services or use my website.

For the purposes of data protection law, I am the data controller responsible for your personal information.

Information I collect

If you contact me through my website, email or other direct communication, I may collect your name, your partner’s name, email address, telephone number and relevant details about your wedding, such as your date, venue and plans.

You may also choose to share other information with me when making an enquiry. I only use this information to respond to you and to provide you with information about my celebrant services.

If you decide to book me as your celebrant, I will collect further information from you as part of the process of getting to know you and creating your ceremony. This may include personal details about your relationship, your family and friends, your lives together and the things that matter to you. This information is used solely to help me create and deliver a ceremony that feels personal and meaningful to you, and I treat the stories and information you share with me with care and confidentiality.

If you choose to sign up to my newsletter, I will collect your name and email address so that I can send you the updates and information you have asked to receive.

If you provide a testimonial or photograph for use on my website, social media or other promotional materials, I will only use it with your permission. Where I publish testimonials, I will normally identify you using your initials rather than your full name, unless you have specifically agreed otherwise.

I love sharing kind words from couples and photographs from the weddings I have been privileged to be part of.

I will only publish a testimonial, photograph or other identifiable content relating to you with your permission.

Where I publish testimonials, I will normally use your initials rather than your full name. I will not assume that permission to use a testimonial also gives me permission to use photographs, or vice versa.

If you change your mind about allowing me to use a testimonial or photograph in the future, please contact me and I will consider your request to remove it from my website or future promotional use.

Who do I share your information with?

I use trusted third-party services to help me run my business, including:

  • Squarespace, which hosts my website and processes information submitted through my website forms;

  • Google, whose services I use for email, document and spreadsheet storage and website analytics;

  • my newsletter provider, which stores subscriber information and sends my newsletters; and

  • payment or other business service providers where necessary to provide my services or manage my business.

These providers may process personal information on my behalf and are expected to handle it securely and in accordance with applicable data protection requirements.

If, during the planning of your ceremony, you ask me to work with another person or supplier and it is necessary to share relevant information with them, I will only do so with your knowledge and permission.

How is your information stored?

I take reasonable steps to protect the personal information I hold from unauthorised access, loss, misuse or disclosure.

Information submitted through the forms on my website is stored using Google Drive. I also use appropriate password protection and security measures for the systems and accounts I use to manage my business.

Some of the third-party services I use may process or store information outside the UK. Where this happens, appropriate safeguards will be used in accordance with applicable data protection law.

My website uses Google Analytics to help me understand how visitors use my website, such as which pages are visited and how people find my site. This helps me understand what is useful to visitors and improve my website and services.

Newsletter subscriber information will be retained while you remain subscribed. If you unsubscribe, I will remove you from my active mailing list, although I may retain limited information where necessary to record that you have opted out.

Information relating to testimonials and photographs will be retained for as long as I have your permission to use it, unless you ask me to remove it.

Your rights

Under UK data protection law, you have rights in relation to the personal information I hold about you. Depending on the circumstances, these include the right to:
